WHEN SOMETHING GOES WRONG

Cancellation Policy

At Luxotic Retreats, we understand that life happens and plans can change. Our goal is to be as fair and transparent as possible while maintaining the quality and commitments that make each retreat special. Please review the following carefully before booking.

DEPOSITS AND BOOKING CONFIRMATION

  • A non-refundable deposit is required to secure your spot.

  • Your booking is confirmed once we receive your deposit and you receive a confirmation email.

  • The remaining balance can be paid in full or through an approved payment plan (if offered).

PAYMENT DETAILS

  • Full payment must be received by the due date listed in your booking confirmation.

  • If full payment is not received by the deadline, Luxotic Retreats reserves the right to release your spot and retain your deposit.

GUEST CANCELLATION

If you need to cancel your booking:

  • 90+ days before the retreat start date: You may transfer your booking to another person or apply your payment (minus the deposit) toward a future retreat within 12 months.

  • 60–89 days before the retreat: 50% of the total retreat cost will be forfeited.

  • Less than 30 days before the retreat: All payments are non-refundable due to commitments made to our venues and partners. Except you pay a refund fee to get a full refund.

(We strongly encourage guests to purchase travel insurance to cover unexpected changes or emergencies.)

TRANSFERS

  • You may transfer your retreat booking to another guest up to 30 days before the retreat start date, provided we are notified in writing.

  • Any transfer requests made less than 30 days prior will be handled on a case-by-case basis.

RETREAT CHANGES OR CANCELLATION BY LUXOTIC

  • In the rare event that Luxotic Retreats must cancel or reschedule a retreat due to circumstances beyond our control (e.g., natural disasters, border closures, low enrollment, etc.), you will be offered:

    • A full refund, or

    • A credit toward a future retreat within 18 months.

  • We are not responsible for airfare, visa fees, or other travel costs incurred.

TRAVEL INSURANCE

We highly recommend purchasing comprehensive travel insurance that covers cancellations, medical emergencies, and trip interruptions. This helps protect your investment and ensures peace of mind.

AGREEMENT

By booking a retreat with Luxotic Retreats, you acknowledge that you have read, understood, and agree to this Cancellation Policy and our Terms & Conditions.

REFUND PROCESSING

If a refund applies, it will be processed within 14-24 business days of written cancellation confirmation.
Refunds are made to the original form of payment used during booking, minus any transaction or processing fees charged by banks or payment providers.

FORCE MAJEURE (UNFORSEEN EVENTS)

Luxotic Retreats is not liable for delays, cancellations, or changes due to circumstances beyond our control, including but not limited to: natural disasters, pandemics, political instability, or government travel restrictions.
In these cases, we will do our best to reschedule or offer credit toward a future retreat.

MINIMUM GUEST REQUIREMENT

Each retreat requires a minimum number of participants to run smoothly.
If the minimum is not met, guests will be notified at least 45 days in advance and offered a full refund or credit toward another retreat.

TRAVEL DOCUMENTATION & RESPONSIBILITY

Guests are responsible for ensuring that all passports, visas, and travel documents are valid and up to date. Failure to meet travel requirements is not considered grounds for a refund under this policy.

COVID-19 OR HEALTH RELATED CANCELLATION

If illness, injury, or a positive COVID test prevents you from attending, our standard cancellation terms apply. We strongly recommend travel insurance that covers medical or COVID-related cancellations.
